This agreement outlines the terms between Origin Travel (“the Company”) and you (“the Traveler”). By confirming a booking with us, you acknowledge acceptance of the following terms.
1. Booking & Contract
The travel contract consists of the confirmed itinerary, agreed services, total tour value, and these Terms & Conditions.
All prices are subject to change until final written confirmation is issued. The contract becomes effective upon receipt of the required deposit.
If any confirmed service becomes unavailable, we will offer a suitable alternative of similar standard and value.
2. Payment
Deposit
A 30% deposit is required to secure your booking. For departures within a short timeframe, a higher deposit or full payment may be requested.
Balance
The remaining balance must be settled in full prior to the tour commencement date. Payment is accepted via credit card or bank transfer.
3. Amendments & Cancellation
Amendments
Changes to confirmed services will be accommodated where possible. Additional charges may apply depending on supplier policies and service adjustments.
Cancellation by the Traveler
Cancellation fees are based on the date written notice is received:
- More than 45 days before departure: No charge
- 30–45 days: 10% of total tour cost plus supplier charges
- 15–29 days: 40% plus supplier charges
- 7–14 days: 60% plus supplier charges
- Within 7 days: 100% charge
No refunds are available for unused services once travel has commenced.
4. Force Majeure
In circumstances beyond reasonable control (including natural disasters, severe weather, government restrictions, or other unforeseen events), we will offer alternative arrangements of comparable value or refund recoverable unused services, excluding non-refundable supplier and banking charges.
5. Special Notes on Halong Bay Cruises
Cruise itineraries may be adjusted due to weather conditions or regulations imposed by local authorities. Any adjustments will maintain equivalent service value and standards.
6. Personal Information
To ensure accurate arrangements, travelers are required to provide:
- Full name (as per passport), date of birth, and gender
- Passport number, nationality, and passport expiry date
- Contact details
- Flight details (if applicable)
- Accommodation preferences
- Any special requirements
All personal information is treated as confidential and used solely for operational purposes. Travelers are responsible for the accuracy of the information provided.
7. Children Policy
Children sharing existing bedding with parents may benefit from the following rate structure:
- Under 3 years old: Complimentary
- 3–5 years old: 50% of adult rate
- 6–8 years old: 75% of adult rate
Children requiring a separate bed or room will be charged at the applicable adult rate. Final rates may vary depending on supplier policies and will be confirmed at the time of booking.
8. Insurance & Traveler Responsibility
Travel insurance is not included and is strongly recommended. Travelers are responsible for valid travel documents, health requirements, and fitness for travel.
Origin Travel acts as an intermediary between travelers and independent service providers. While we carefully select our partners, we are not liable for loss, injury, delay, or disruption caused by third-party providers or circumstances beyond our control.
9. During Your Journey
